Cancellation policy

We understand sometimes things happen and you may need to cancel or modify your booking. Our cancellation and modification policies are designed to provide flexibility and ensure a hassle-free experience for our guests.

Other terms and conditions may apply if a reservation has been made via third party sites. Lofoten og Vesterålen Holding AS upholds the right to cancel bookings if the guest does not comply with our terms & conditions.

For bookings made with third party sites, all cancellation and modification requests must be made through the third-party site used to make the reservation. For bookings made directly with HAVLY LOFOTEN SHELTER RETREAT all cancellation and modification requests must be done via email to sylvia@lofoten-retreat.eu in order to be valid.

The standard cancellation policy applies to all reservations of 27 or fewer consecutive nights. You can choose one of the following standard cancellation policy options:

  • To receive a full refund, the guest must cancel within 48 hours of booking, and the cancellation must occur at least 14 days before check-in.
  • If the guest cancels 14 days or more before check-in but not within the first 48 hours after booking, the guests receive 50% payment for all nights.
  • If the guest cancels between 7 and 14 days before check-in, the guest receives 50% payment for all nights.
  • If the guest cancels in less than 7 days before check-in, there is no refund.

In order to provide reliable and consistent experience for guests, our cancellation policy is firm, and we cannot make exceptions. We highly encourage guests to book flexible flight tickets and obtain good travel insurance to cover unexpected events.

Modifications

We understand that changes to your travel plans may be necessary, and we will do our best to accommodate your needs. Please note that any modification to your reservation is subject to availability and may result in a rate change. If you wish to modify your reservation, please contact us as soon as possible, and we will do our best to assist you.

Payment

If no other agreements have been made, we will charge the full payment during your booking process of the retreat. Other terms and conditions may apply if a reservation has been made via third party sites.

Payment can be made only by prepayment by bank transfer (contact us by email for bank transfer). Your booking is confirmed as soon as the transfer is on the bank account. No cash accepted. You will be responsible for all unsettled bills, and all extra services are to be paid when ordered.

We accept the following card types: Debit card, Visa, Mastercard. If we are unable to charge your credit card, your reservation or order may be cancelled.

Currency

All prices HAVLY Lofoten Shelter Retreat are in Euros (EUR) – if you prever to pay in Norwegian Krone (NOK) we charge the amount due to the current exchange rate. Please note that your bank or credit card issuer may charge foreign transaction fees and currency conversion rates if you are paying with a non-Norwegian credit card or from a foreign bank account. HAVLY Lofoten Shelter Retreat is not responsible for any such fees or rates, and any such charges will be your responsibility. In the event that a refund is issued, please note that the currency exchange rate may be different from when you were originally charged and may result in a difference between the total amount charged and the amount refunded. We are not responsible for any such differences in the exchange rate or additional foreign transaction fees imposed by your bank or credit card issuer. Any such differences or additional fees will be the responsibility of the guest.

Identification

Please make sure to bring a valid photo identification with you, preferably a passport, government issued I.D. card or driving license. You may need this to check in.

Age restrictions

We cannot accept bookings from any person under the age of 18 unless they are accompanied by an adult (18 or over).

Guests who wish to bring their children under the age of 18, must book a whole dorm, private room or apartment.

Guests aged under 18 can stay in a dorm without an adult present, but we require the consent of their parent or legal guardian. To confirm their permission, the parent or guardian must fill out and sign our consent form and provide a copy of their passport via email. Please note that we reserve the right to cancel the reservation without a refund if guests with children under the age of 18 do not book a whole dorm or if we do not receive the signed consent form for guests aged 18 and a copy of the parent’s or guardian’s passport.

Liability for damage

Our guests will be expected to reimburse HAVLY LOFOTEN SHELTER RETREAT for any damages caused by inappropriate behaviour during their stay. Regarding the accommodation: You shall be responsible for any damage caused to HAVLY Lofoten Retreat as a result of negligent or wilful behaviour.

Our guests shall be responsible for preventing fire, especially by ensuring that the heaters are not covered and all fires in the fireplaces are extinguished. Any negligence resulting in fire or an emergency call-out by the Fire and Rescue Service will be charged in accordance with the cost of any such call-outs.

No smoking

Smoking is not permitted anywhere inside the buildings. Any guest smoking inside the building will be fined with 2000 NOK and will be asked to leave the premises. A refund will not be issued for the stay.

No drugs

Any guest found using drugs will be fined with 200 EUR and will be asked to leave the premises. A refund will not be issued for the stay.

Liability on activities

HAVLY LOFOTEN SHELTER RETREAT acts as an agent only for the offered activities or rentals. Thus, the partners are not responsible for any injury, damage, loss or accident inflicted on any person or thing (including financial damage) caused by negligence or with intent from any such operator.

Our guests will be expected to reimburse HAVLY LOFOTEN SHELTER RETREAT for any damages caused by inappropriate behaviour during their stay. You shall be responsible for any damage caused to the property of Sylvia Petrovic-Majer as a result of negligent or wilful behaviour.

Any participation in an activity, regardless of its orientation and requirements, is voluntary and under total personal responsibility. Physical and mental health is entirely your own responsibility. We do not provide any psychological or mental professional help.

Errors and omissions

Any omission or error in sales literature, websites, order form, quotation, price list, order acknowledgement, notes, invoice or other documents issued by us may be corrected by us without liability.

We will advise you of any changes at the time of booking or as soon as is reasonably possible thereafter.

Discretion

All bookings are subject to availability, Sylvia Petrovic-Majer reserve the right to decline any booking at its discretion.

By confirming a reservation at HAVLY LOFOTEN SHELTER RETREAT, regardless of if this sheet is signed, you are agreeing to the above terms & conditions.
